  • Overview

    The hotel business functions seven days a week, 24 hours a day. All Team Members must realize this fact and be aware that at all times it may be necessary to move Team Members from their accustomed shift as business demands change. In addition, this is a hospitality business and a hospitable service atmosphere must be projected at all times.

    Responsibilities

    • Handles all group and corporate general inquiries and ensures maximization of revenues and minimization of losses through effective sales management.
    • Answers phones and e-mails, proactively following up with each group and corporate client until contact is made.
    • Books groups, follows up with correspondence, checks-in weekdays morning groups, assists as needed with groups throughout the mornings.
    • Maintains master events schedule on Outlook and enters group bookings into PMS system.
    • Responsible for the development and maintenance of all sales databases
    • Creates, updates and manages databases for Social, Military, Corporate and Associations.
    • Ensures the office administration runs smoothly.
    •  Receives guests in the sales office. Answers all general inquiries in excess of the voicemail system.
    • Processes all incoming and outgoing mail, faxes and couriers, Fed-Ex packages
    •  Provides word processing support to Sales Managers for special reports as required.
    • Able to produce and create reports on Excel and Word.
    • Coordinate all credit card authorization forms, rooming list, group details arrivals, direct bill applications
    • Support the sales representatives by researching prospecting new accounts.
    • Assist the sales reps with scheduling new client visits and, if necessary, assist with travel arrangements.

    Qualifications

    • Previous sales, administrative and/or customer service experience required
    • Proficient computer skills.
    • Prefer knowledge of computer programs: Microsoft Word, Outlook, Excel, PowerPoint, and Opera
    • Strong communication and interpersonal skills, diplomatic, tactful, customer-focused with a professional phone manner and ability to interact professionally with staff, guests, the press, high profile and other external clients.
    • Strong organizational and time management skills with proven ability to organize, prioritize and successfully manage multiple and shifting priorities, projects, and deadlines.
    • Team-player, flexible, adaptable, personable and able to work well with others, take direction, and fulfill responsibilities under stress or pressure with minimal direct supervision.
    • Candidates must display a level of maturity and finesse to work with luxury and exceptionally demanding clients.
